THE FIVE C’S OF EVENT MANAGEMENT: Five steps for the event of your dreams!

Often when we think about the events, we think about all the fun and gala that comes packed with it. However, we cannot overlook the stress of preparations, planning, management (be it guest list, budget, fund management) and all of this makes the essence of our celebration to go on a strike.

We often hire event planners/managers or even sometimes take the initiative but all in all it comes down to the five factors that make your thought into a successful event.

This brings us down to the five C’s of event management.

1.       Concept: Every creation we see around us; be it life, art, any invention, etc. have been generated out of a need, the need often results in the development of the concept or sometimes the need itself is the concept that results in the creation being brought to life.

Same is with the event management, where conceptualization plays a major role in how the overall ensemble and vibe should be brought to life to celebrate your special day and making it authentic just for you. This involves brainstorming, mind mapping and essence assembling and understanding one’s personal style and idea of aesthetics and eventually building the idea around the same.

2.       Coordination: The next step once you’ve conceptualized your event is to coordinate it. This step involves listing everything that you will need in bringing the concept to light and life, it can be arranging for speakers/bands for the music that is being intended to put up in the event, or the date and venue arrangement, catering, budget formation and management and thereby getting in all the stuff that is required to mould the event into its final form. This is often the more tiring part of the event, but if done in the right manner it can be the most rewarding too.

3.       Control: This is one of the most important C of the event management process, but indeed it’s the most neglected one too, you want to know why?

We often hire a team of event managers and tell them our concept and that is it, you don’t know that whether or not the event will take the shape as you have imagined it to and sorry to break this out! But there is only one way, tracking and controlling. Exercising control and tracking on the coordination and planning of the event makes sure that things are being managed and molded the way you want them to be and thereby also helps you in building transparency with your budget/fund management, because event penny counts!

4.       Culmination: Finally, it the D-Day! You will be having your guests coming over and immersing themselves in the joy of your big day, you have to make sure that you at the top of everything; aware, alert and well informed. This usually takes in the coordination and management from the team you hired, but still you want to sure about everything being in place so that your special day don’t slip out without making an impression.

5.       Closeout: Your event was a success and kudos for that! But wait a minute, there is still some work that needs to be done. Wondering what it is? Okay, so did you make all the payments? Closed all the contracts? Returned the stuff that you brought in to make the ensemble of the event? Gave an honest feedback to the team who held you through the process of event management? NO? Well do it now! Because that is the final step of the event management. CLOSEOUT!

In this final step you clear all the dues, give feedbacks, close the contracts and to be honest this is the most rewarding part, wherein at the end of your special day everyone has got the successful event and also what they needed from the same.
